Workflows when adding products
With workflows, Vetocare automatically creates a task, reminder, or inbox item as soon as a product is added to an animal. You set up the workflow once in the settings; after that, it runs whenever the selected product or product group is added to an animal. Only users with the Owner or Administrator role can create and manage workflows.
Go to workflows
You can find workflows via Settings > Workflows > Manage workflows. Click Add workflow to create a new workflow. Only users with the Owner or Administrator role have access to this screen.
Create a workflow
A workflow consists of the details, the start event, and the actions. Follow these steps:
Give the workflow a name.
For the entity type, choose Product or Product group.
Select the product or product group to which the workflow applies. A product workflow requires at least one product; a product group workflow requires at least one product group.
Under When to activate?, select the Product added to animal trigger in the Start moment field.
Under Actions, click Add and select one or more actions.
Click Save.
The trigger runs as soon as the selected product or a product from the selected product group is added to an animal. The product and animal details are then passed on to the actions.
Add actions
Each action automatically creates a task, reminder, or inbox item. Choose the action type in the Actions section:
Create task - asks for a title, assignee, task type, priority, description, and due date offset.
Create reminder - targets animals and asks for a reminder period, optionally a default message, a subject, and a message. Set the timing using Send after.
Create inbox item - asks for a subject and a description.
A reminder requires a delay of at least one day; minutes and hours are not allowed.
Save and activate
Both the workflow and each individual action have their own Active checkbox. A workflow runs only if both the workflow and the action are active. You can reorder or remove actions in the Actions section using Delete. Click Save again after making changes.
