Set up products and inventory
Set up your products and inventory so you can sell, order, and receive stock. Follow the steps in this order: each step links to the full guide for that section.
Step 1: Set up product groups
Product groups categorize your products so you can keep an overview and search by group in the product overview. Go to Settings β Products β Manage product groups and add your groups with Add product group; you only need to enter the name and save with Save. See Manage product groups.
Step 2: Set up storage locations
Storage locations indicate where a product is kept, such as a warehouse, cabinet, or drawer. Create them under Products in your settings with Add storage location; you only need to enter the name and save. See Manage storage locations.
Step 3: Add products
Add your products via Products β Add product. The form is divided into five tabs: Product, Price information, Prescription/use, Inventory, and Workflows. Fill in the basic details, price information, and inventory settings on each tab. See Add a product.
Step 4: Manage inventory settings
You can later adjust a product's inventory settings via Products β product β Edit and then open the Inventory tab on the Edit product page. Here you set the minimum stock, order quantity, unit, and storage location. You can only change the current stock itself through a stock adjustment. See Set inventory information.
Step 5: Set opening stock
Set the opening stock when adding the product in the Opening stock field; if this is not zero, a stock adjustment is created automatically. For corrections or individual changes, use Stock adjustment on the product page, where you enter the quantity, increase/decrease, and reason. See Adjust inventory (stock adjustment).
Step 6: Ordering and receiving stock
Order products from your suppliers via Products β Orders. Here you can see active orders and suggestions based on the current stock compared to the minimum stock. Create a new order with New empty order, choose the supplier, add products with Add product, and save with Save. Receive products into stock with Receive order; if you receive them in parts, adjust Quantity received. Complete the order with Complete once everything has arrived. See Orders.
Step 7: Keep inventory history
All sales and inventory adjustments are tracked in Vetocare. View the history of one product via product β History, or of all products via Products β Inventory history, where you can filter and export. See Adjustment history.
