Set up products and inventory
Set up your products and inventory so you can sell, order, and receive stock. Follow the steps in this order: each step links to the full guide for that section.
Step 1: Set up product groups
Product groups categorize your products so you can stay organized and search for a group in the product overview. Go to Settings → Products → Manage product groups and add your groups with Add product group; you only need to enter the name and save it with Save. See Manage product groups.
Step 2: Set up storage locations
Storage locations indicate where a product is kept, such as a warehouse, cabinet, or drawer. Create them under Products in your settings with Add storage location; you only need to enter the name and save it. See Manage storage locations.
Step 3: Add products
Add your products via Products → Add product. Only the product name and item number are required. Also enter the pricing information (purchase price, sales price excluding VAT, and the VAT rate) and the inventory settings, including Stock item, Opening stock, Minimum stock, Order quantity, Unit, and Storage location. Step 4: Manage inventory settings
Adjust a product's inventory settings later via Products → product → inventory → Edit. Here you can set the minimum stock, order quantity, unit, and storage location. You can only change the current stock itself through an adjustment. See Set up inventory information.
Step 5: Set opening stock
Set the opening stock when adding the product, using the Opening stock field; if it is not zero, an adjustment is created automatically. For corrections or individual changes, use Adjustment on the product page, where you enter the quantity, increase/decrease, and reason. See Adjust inventory (adjustment).
Step 6: Ordering and receiving stock
Order products from your suppliers via Products → Orders. Here you can see active orders and suggestions based on the current stock compared with the minimum stock. Create a new order with New blank order, select the supplier, add products with Add product, and save with Save. Record received products with Receive order; if you receive them in installments, adjust Quantity received. Complete the order with Complete once everything has arrived. See Orders.
Step 7: Keep track of inventory history
All sales and inventory adjustments are recorded in Vetocare. View the history of one product via product → History, or of all products via Products → Inventory history, where you can filter and export. See Adjustment history.
