Sending campaigns
With a campaign, you send one email to your entire client base or to selected lists, either immediately or at a scheduled time. You set up the campaign, choose the target audience, select a standard message as a template, and send or schedule the campaign.
Setting up a campaign
You manage campaigns under Clients > Campaigns. The campaign functionality is only available if campaigns have been enabled for your practice.
Go to Clients > Campaigns and click Add campaign.
Enter a name (required, maximum 1,024 characters).
Under Select clients, choose the target audience: All clients or Other, selected list.
For Other, selected list, select one or more client lists.
Choose Send now or Send later. With Send later, enter a date and time.
Click Save and continue to compose the email.
If you choose All clients, list selections are disabled and cleared. A campaign always requires either All clients or at least one selected list.
Using a standard message as a template
You select the template in the email composer that opens after Save and continue, not when setting up the campaign. Campaigns use the message type Campaigns.
In the composer, under Standard messages, select a standard message and click Select.
The selected template fills in the subject and message. Alternatively, choose Manual and enter everything manually.
Click Manage standard messages to manage templates.
You create and manage standard messages via Settings > Standard messages. See Standard messages for information on creating templates. For campaigns, the dynamic fields from the Practice and Client groups are available, such as {{CLIENT}}, {{CLIENT_FIRSTNAME}} and {{PR_NAME}}.
Sending or scheduling
The target audience is read-only in the composer and cannot be changed there.
For an immediate campaign, click Send.
For a scheduled campaign, click Schedule.
You need a valid, verified sender email address; without a sender, the sending actions are not active. See Manage email senders.
Campaign statuses and editing
A campaign can have the statuses Draft, Scheduled and Sent. For each campaign, the overview shows the name, status, number of recipients and sending date.
You can edit a draft again via Edit.
Scheduled and sent campaigns can no longer be edited.
The details view shows, among other things, Scheduled on, Sent on, Total emails sent, Sender and Subject.
Recipients with an empty or invalid email address are skipped. If no valid recipients remain, the campaign is not sent.
