Archive and unarchive a client
Archive removes a client from the active practice without losing their record. The client disappears from lists and search results, but you can restore the record later by selecting Unarchive.
Archive a client
You archive a client from the edit screen. The button appears only after the client has been saved; for a new client that hasn't been saved yet, you'll see only the usual save options.
Open the client record and click Edit.
Click Archive.
Confirm by clicking Archive on the confirmation screen. This confirms that the client will no longer appear in lists or search results.
After archiving, you'll see the message Changes saved. and return to the regular client list.
What happens to the client
Archiving does more than just hide the client. Here's what happens:
The client disappears from the regular client lists and search results.
The client's future appointments are canceled, along with the reminders for those appointments.
Unsent reminders for the client are deleted.
All of the client's animals that haven't been deleted are also removed from the record.
The client's inbox items are deleted.
The client is removed from every client list (see Client lists).
Find archived clients
Archived clients appear in a separate view, not in the regular client list.
In the client list toolbar, click Archived. On a small screen, you'll find the same option under the More menu.
The view is called Archived clients and shows a list of all archived clients. Click the arrow (←) to return to the regular list.
This view has no search function, and the Add client, Send email, and Export options aren't available. If there are more results, click Load more results.
The Unarchive action appears next to each archived client.
Unarchive a client
Unarchive restores an archived client to the active practice. The client then appears in lists and search results again, and the record opens right away.
Go to Clients > Archived.
Click Unarchive next to the client.
Confirm by clicking Unarchive on the confirmation screen.
Unarchiving doesn't fully restore everything: canceled appointments and reminders, deleted inbox items, and client list memberships won't be restored. You'll need to add those again after unarchiving. The client's deleted animals will be restored; any archived or deceased status for those animals will remain unchanged.
Archive or delete?
Archiving is reversible; deleting is permanent. When you archive a client, they disappear from lists and search results, but their record remains, and you can restore them by selecting Unarchive. When you select Delete, the client is permanently deleted. The deletion confirmation explicitly states that the client's future appointments and reminders will be deleted; the archive confirmation doesn't mention this. If you're unsure what to do with a client's record, choose to archive it. Read Delete a client for the deletion option and Client lists to learn how to assign the client to lists again.
