Set up and send VAMREG registrations
VAMREG is a Belgian integration that allows you to register veterinary medicines with VAMREG. Set up the integration via Settings > Integrations and prepare and send registrations via Products > AB Registrations.
Requirements
VAMREG is available for Belgian practices with a VAMREG integration. You need a VAMREG API key and permissions for Products to set up the integration and process registrations.
Set up the integration
Open Settings > Integrations > VAMREG and enable the integration. The setup wizard consists of three steps that must be completed in order; later steps remain unavailable until the previous steps have been completed.
Set up API key
Enter your VAMREG API key in the API key field and click Save. If a key is already saved, you will see (already saved) and the field will be displayed with asterisks.
Link animal species
For each animal species, select AB mandatory if you want to require a registration for that species, and select the VAMREG target animal. An animal species marked as AB mandatory must have a target animal species; you cannot save the step without one.
Set order numbers
The VAMREG order number is the veterinarian's official number with the Order of Veterinarians. You can save it per user; Vetocare automatically uses this number when that user is selected as the prescribing veterinarian. The number must begin with 0, 1, N or F followed by 4 digits (for example, N1234); otherwise, the message Invalid order number format. appears.
When all steps have been completed, the message VAMREG ready for use! appears. You can reopen and modify previously completed steps later.
Open a registration
When an antibiotic is used for an animal of a species marked as AB mandatory, a registration is automatically prepared. You can find these registrations under Products > AB Registrations.
The list has the statuses Action required, Not registered, Registered and Error. The filter is set to Action required by default; you can search by product name, customer name, animal name and batch number. In the Products menu, an orange number shows the number of registrations with the status Action required or Error.
Prepare a registration
Open a registration to prepare the VAMREG declaration. The page divides the source data for the administration into four sections and then asks for the missing registration details.
Source data
The first section, Source data, displays the read-only administration details: Declaration date, Client, Animal, Animal species, Product, Batch number, Prescribed by, Quantity used and Unit. Missing values are shown as a dash.
Quantity for VAMREG
Under Specify quantity as, choose whether to enter the quantity As number of packages or As number of units. Only the selected mode is visible and editable.
For packages, enter Number of packages, a value greater than 0 such as 0.5 for half a package. For units, enter Number of units and select the Unit: Gram, Milliliter or Piece. The quantity may contain a maximum of 15 digits in total.
If Vetocare could not automatically calculate the number of packages, the page displays Vetocare could not automatically calculate the number of packages. Enter the number of packages manually.
Review and complete
Under Review and complete, enter the missing details: the CNK code, the VAMREG target animal species for which the medicine was used, and the User (order number) who prescribed it. The selected user must have a valid saved order number.
Send to VAMREG
The final section shows the declaration status: Ready to send when all details are complete, Sending failed after an error, or Check status. As long as details are missing, the section displays the warning Missing data with each blocking issue.
You can Save, Send to VAMREG or Do not register the registration. Sending is only available when all required details have been entered; click Send to VAMREG and confirm with Send to VAMREG?.
Do not register marks the registration as Not registered, so no further action is required. This action is available for the Action required and Error statuses.
After sending
After a successful submission, the registration becomes Registered and can no longer be edited. The page displays the message The declaration was successfully registered with VAMREG and the history shows the VAMREG declaration ID.
If sending fails, the registration remains editable and the status Error is displayed. You can view the error message, save the registration, send it again or mark it as Do not register. The Registration history shows the events for each registration (Error message, Registered, Not registered or Modified), together with the date and user.
Errors
These messages appear for incomplete or invalid registrations:
Missing data – the declaration is not yet complete; the section shows each blocking issue.
Prescribing user missing. – no user has been selected.
The VAMREG order number has an invalid format. Must begin with 0, 1, N or F followed by 4 digits. or Veterinarian order number missing. – the selected user does not have a valid order number.
CNK missing. – the CNK code is required for sending.
CNK may contain only digits and may be a maximum of 7 digits long.
VAMREG target animal species missing. – no target animal species has been selected.
The number of packages is missing or is 0. or The number of packages must be greater than 0.
The number of units is missing or is 0. or The number of units must be greater than 0.
The quantity may contain a maximum of 15 digits in total.
The unit must be G, ML or PIECE.
VAMREG could not process this declaration. or an error message with an HTTP status from VAMREG – sending failed.
