Archiving and unarchiving a client
With Archive, you remove a client from the active practice without losing the record. The client disappears from lists and search results, but you can restore the record later with Unarchive.
Archive a client
You archive a client from the edit screen. The button only appears once the client has been saved; for a new, unsaved client, you only see the usual save options.
Open the client record and click Edit.
Click Archive.
Confirm by clicking Archive on the confirmation screen. This confirms that the client will no longer appear in lists or search results.
After archiving, you see the message Changes saved. and return to the regular client list.
What happens to the client
Archiving does more than just hide the client. Hereās what happens:
The client disappears from the regular client lists and search results.
The clientās future appointments are canceled, along with the reminders for those appointments.
Any reminders for the client that have not yet been sent are deleted.
All of the clientās animals that have not yet been deleted also disappear from the record.
The clientās inbox items are deleted.
The client is removed from every client list (see Client lists).
Finding archived clients
Archived clients are shown in a separate overview, not in the regular client list.
Click Archived in the toolbar of the client list. On a small screen, you can find the same option under the More menu.
The overview is called Archived clients and displays a list of all archived clients. Click the arrow (ā) to return to the regular list.
This overview has no search function, and the Add client, Send email, and Export options are unavailable. If there are more results, click Load more results.
The Unarchive action is shown for each archived client.
Unarchive a client
With Unarchive, you return an archived client to the active practice. The client then appears in lists and search results again, and the record opens immediately.
Go to Clients > Archived.
Click Unarchive next to the client.
Confirm by clicking Unarchive on the confirmation screen.
Unarchiving is not a complete restoration: the canceled appointments and reminders, deleted animals, deleted inbox items, and client list memberships are not restored. You must add them again yourself after unarchiving.
Archive or delete?
Archiving is reversible; deleting is permanent. When you archive a client, they disappear from lists and search results, but the record remains and you can restore the client with Unarchive. With Delete, the client is permanently deleted. The deletion confirmation explicitly states that future appointments and reminders for the client will be deleted; the archiving confirmation does not.
